The mobile app

What it is for: recording an expense in three taps while you are out, seeing what you are owed, making a quick invoice or quote, and keeping an eye on your instalments, all from your phone. It is the mobile app of EK1.

Where to find it: menu My account («Mi cuenta») → Mobile app («App móvil»). It opens in your phone's browser and can be installed like any other app.
Who sees it: anyone who has Sales. If you are the account owner and do not have it, you get a reduced mode: you can record personal expenses and the rest appears with a padlock 🔒. If you are an employee without Sales, you see a notice that the app needs that module.

What you see first

There are five buttons at the bottom: Home («Inicio»), Expenses («Gastos»), Invoices («Facturas»), Customers («Clientes») and More («Más»). The red + Expense («+ Gasto») button is always within reach of your thumb.

On Home you have:

  1. Spent in the month, compared with the previous month and split by category. If you are the owner, an All / Business / Personal («Todo / Empresa / Personal») selector changes what counts.
  2. See detail and trend («Ver detalle y evolución»): pick the month with ‹ and ›, see the last 6 months and the split by category.
  3. You are owed («Te deben»): what your customers still have pending, with the most urgent ones and how many days late they are.
  4. Latest expenses («Últimos gastos»), with See all («Ver todos»).

At the top, a No connection («Sin conexión») or «N por enviar» (N waiting to be sent) label tells you if something is waiting to go out.

Step by step

Install the app on your phone
  1. Open your panel in your phone's browser, sign in as usual and go to My account → Mobile app.
  2. On iPhone (Safari): tap the Share button (the square with an arrow), scroll to Add to Home Screen and confirm with Add.
  3. On Android (Chrome): open the browser menu (the three dots) and tap Install app or Add to Home screen.
  4. Find it on your home screen. It works with the same user and the same permissions as the panel.
Record an expense in three taps
  1. Tap + Expense.
  2. Type the amount on the big keypad. The C key resets it to zero.
  3. If you are the owner, choose Business or Personal at the top. If not, everything you record is a business expense.
  4. Tap the category. More («Más») shows the rest.
  5. Tap Save («Guardar»). The date is today.

If you like, add a Note (optional). The camera icon takes a photo of the receipt: the AI reads it and, if you had not typed an amount, fills it in.

Record an expense with no signal

Record it anyway. It is saved on the phone and you will see «guardado en el móvil; se envía al volver la cobertura» (saved on the phone; it is sent when signal returns). When the connection is back it goes out by itself and is not duplicated. If one cannot be sent, the app tells you and you review it in Expenses, in the panel on your computer.

See what you are owed and collect an invoice
  1. Open Invoices. The Pending («Pendientes»), Paid («Cobradas») and All («Todas») buttons change the list, and Search invoice or customer searches by name, number, status or amount.
  2. Tap an invoice to open its sheet: View PDF («Ver PDF»), Share link («Compartir enlace»), Send by WhatsApp («Enviar por WhatsApp») and Mark as paid («Marcar cobrada»).
  3. Send by WhatsApp asks first: «¿Enviar el enlace de pago…?» (send the payment link?). Answer Yes, send to send it from your number.
  4. Mark as paid asks how they paid (Bank transfer, Bizum, Cash or Other). Confirm with Confirm.
Make a quick invoice or quote
  1. In Invoices, tap New invoice («Nueva factura»). In More → Quotes («Presupuestos»), tap New quote («Nuevo presupuesto»). At the top you can switch between Invoice and Quote.
  2. Tap Choose customer («Elegir cliente») and search by name, tax ID, email or phone. If they do not appear, add them first in the panel.
  3. Type the amount (before VAT) and a Concept («Concepto»).
  4. Tap Create invoice or Create quote. It is saved as a Draft («Borrador»), with your company's default tax.
  5. Then choose: Issue and send by WhatsApp, Issue and share link or Leave as draft (for a quote, without «Issue»). Before issuing or sending it asks you to confirm: an issued invoice gets its number and can no longer be edited.
Follow your quotes and turn them into invoices
  1. Open More → Quotes. The filters are Open («Abiertos»), Accepted («Aceptados») and All («Todos»).
  2. Tap one to View PDF, Share link or Send by WhatsApp.
  3. If it is accepted, Turn into invoice («Pasar a factura») creates the invoice as a draft with the same lines. It is not issued or sent: you review that in the panel.
Create a subscription
  1. Open More → Subscriptions («Suscripciones») and tap New subscription.
  2. Choose the customer, type the amount (before VAT) and a Concept.
  3. Choose how often it is charged: Monthly, Quarterly or Yearly, and with − and + the day of the month it is charged.
  4. Tap Review («Revisar»). The screen tells you when the first charge is and whether the customer has a saved card.
  5. If the first charge is today, creating it issues, sends and charges the first instalment right then. If you agree, tap Create subscription; if not, Change something («Cambiar algo»).
Pause, resume or cancel a subscription
  1. In More → Subscriptions, filter by Active, Paused or All and tap the one you want.
  2. Pause subscription stops charging and invoicing until you resume. Resume subscription starts charging again from the next date; the months it was paused are not charged.
  3. Cancel subscription stops charging for good. Invoices already issued stay as they are, and a cancelled subscription cannot be reactivated: you would have to create a new one.
  4. Everything asks for confirmation before it is done.
See how much you earn per service
  1. In More → Subscriptions, tap By service («Por servicio»), next to Instalments («Cuotas»).
  2. You see the monthly recurring income and each type of service, from largest to smallest, with its percentage.
  3. Tap a service to see which customers pay for it. Search service or customer filters the list.
  4. Each service shows its target and how many more customers are needed («faltan N clientes más»). If you are the account owner, inside each service you can tick Dejar fuera del objetivo total (leave out of the total target), set its target with Fijar (Set) or go back to the default with Automático, and at the top change the multiple of the automatic target with Guardar (Save).
See your payments

Open More → Payments («Cobros»). At the top you see what has been collected this month (refunds are subtracted), and below each payment with the customer, the method and the invoice. You can search with Search payment or customer. To record a new payment, do it from the invoice with Mark as paid.

Call or message a customer
  1. Open Customers and search with Search customer.
  2. Each customer shows whether they owe something or are up to date.
  3. Tap one to see how much they owe and their monthly fee, and use Call, WhatsApp or Email. Full record («Ficha completa») opens their record in the panel.
See your balance and top it up

If your account has a balance for calls and AI replies, More → Your balance («Tu saldo») appears. There you see what is left and the latest movements, and you can top up or switch on automatic top-up. To adjust when and how much it tops up, use the panel.
