What it is for: charging a fee that repeats (every month, quarter or year) without having to make the invoice each time. You set the subscription up once and each fee goes out by itself: it is invoiced, sent to the customer and, if they have a saved card, charged.
Where to find it: menu Sales («Ventas») → Subscriptions («Suscripciones»). The report on what you earn per type of service is in the menu Results («Resultados») → Income by service («Ingresos por servicio»).
Who sees it: anyone who has the sales Suite. Without it, Subscriptions shows a padlock and the report does not appear.
What you see first
- The filters: Activas (active), Pausadas (paused), Canceladas (cancelled) and Todas (all).
- The monthly recurring total, at the top right, labelled «MRR».
- The list, one row per subscription: the name, the customer, the Cuota (fee) and how often it is charged, the Próxima (next) charge date, the Tarjeta (card) it is charged to (the last digits, or «sin tarjeta» for none), how many Facturas (invoices) have been generated and the Estado (status).
A subscription can have these statuses: Activa (active), Pausada (paused), Cancelada (cancelled), Finalizada (ended) or Esperando el primer pago (waiting for the first payment). If the last fee failed, a ⚠️ appears next to the name: open it to see what happened.
If the subscription has an end date, a label «No se renueva · termina el…» (does not renew, ends on…) appears.
Step by step
Create a subscription
- In Subscriptions, click + New subscription («+ Nueva suscripción»). If the button is greyed out, first set up your company in Sales settings («Ajustes de Ventas»).
- In Customer («Cliente»), search for the person or company in your CRM. Once the subscription is created, the customer cannot be changed.
- If you like, set an Internal reference («Referencia interna») to recognise it. If you leave it empty, the service name is used.
- Choose the Period («Periodo»): weekly, monthly, every 2 months, quarterly, half-yearly, yearly or every 2 years.
- Set the Billing day («Día de cobro», 1 to 28) and the start date («Inicio»). Below you see the date of the first fee. A weekly subscription has no billing day: it is charged every 7 days from the start.
- If you already know when it ends, put the date in End (optional) («Fin (opcional)»).
- Under Each fee, automatically («Cada cuota, sola»), decide what happens: Issue the invoice («Emitir la factura»; otherwise it stays as a draft), Send it by email, WhatsApp, both or neither, and Charge it automatically to their card («Cobrarla sola con su tarjeta»).
- Under What is charged in each fee («Qué se cobra en cada cuota»), choose the Service («Servicio»). Type to search your catalogue (only products marked as recurring appear here). If it is not there, you can use a text just for this subscription, or add it to the catalogue from the dropdown itself.
- Fill in the Customisation («Personalización») if you want the customer's name, domain or project to appear on the invoice, and the Qty («Cant.»), Price («Precio»), Disc. % («Dto. %») and VAT («IVA»). + Another line («+ Otra línea») adds more.
- Click Create subscription («Crear suscripción»).
When you create it, the panel tells you what happened with the first fee: whether today's was generated, whether it was charged and sent, or what failed.
Charge the first fee when the customer has no card yet
- Leave Charge it automatically to their card ticked.
- If the customer has no saved card, they pay the first fee from the invoice link and their card is saved there.
- The following fees are charged automatically.
For this to work, you must have connected card payments in Sales settings, Cobros tab. If not, the form reminds you with «cuando conectes Stripe» (when you connect Stripe).
Turn an accepted quote into a subscription
- Open a quote with status Aceptado (see Quotes and invoices).
- Click Convert to subscription («Convertir en suscripción»).
- Answer the two questions: the period of the fee (monthly, quarterly or yearly) and the billing day (1 to 28).
- The subscription opens with the quote's lines.
Pause and resume a subscription
- Open the subscription from the list.
- Click Pause («Pausar»). No fees are generated while it is paused.
- When you want to go back, click Resume («Reanudar»).
Change what is charged
- Open the subscription and change the lines, the period, the day or any other detail.
- Click Save changes («Guardar cambios»).
The changes affect the following fees. Invoices that have already gone out do not change.
Generate a fee outside the schedule
- Open an active subscription.
- Click Generate fee now («Generar cuota ahora»).
- Confirm. The invoice for that fee is created right away, even if it is not due yet.
Cancel a subscription
- Open the subscription.
- Click Cancel subscription («Cancelar suscripción»).
- Confirm. No more fees can be generated and it cannot be reactivated. If you only want to stop for a while, use Pause.
If you want it to end on a specific date without cancelling it now, put that date in End (optional). What is already paid is valid until that day, and a fee falling on that same day is no longer generated.
Ask the customer to change their card
- Open the subscription (active or paused).
- Click 💳 Link to change card («💳 Enlace para cambiar tarjeta»). A link is copied.
- Send it to the customer. With it they enter their new card without paying anything, and the next fees are charged to it.
See a subscription's invoices
At the bottom of the record, under Invoices of this subscription («Facturas de esta suscripción»), each fee appears with its number (with a link), the period it covers, the amount and the status.
See how much you earn per month for each type of service
- Open Results → Income by service. You can also get there from the link «Ver cuánto te pagan al mes por cada tipo de servicio» (see how much you are paid per month for each type of service) at the top of Subscriptions.
- The screen is titled Ingresos recurrentes por servicio (recurring income per service). At the top you see the monthly recurring income, what it would be per year at today's rate, and how many active subscriptions and service types there are.
- Below, one block per service, from the one that contributes most to the one that contributes least. Each shows what it adds per month, what percentage of the total it is, how many customers have it and the average fee per customer.
- Click a service to expand it. You will see its Variants («Variantes»), if it has any, and the list of customers with what each one pays.
Figures are without VAT. Quarterly or yearly fees are counted "per month" (a yearly fee counts as one twelfth). Only active subscriptions count.
Set monthly targets per service and see how many customers you still need
- In Results → Income by service, at the top you will see three figures: Hoy cobras al mes (servicios incluidos) (what you collect per month today, included services), Objetivo mensual (monthly target, with what is missing per month) and Clientes que faltan (customers still needed), which adds up the ones for each service at the average amount each customer pays today.
- Each service has its own target, a bar showing how far you are, and a message such as «Faltan N clientes más» (N more customers needed) or «Objetivo cumplido» (target reached). By default, each service's target is what you collect today multiplied by 10.
- If you are the account owner, you can change that multiple for all services: type the number in «Objetivo automático de cada servicio: lo de hoy ×» and click Guardar (Save).
- To set your own target on one service, expand it, type the monthly amount in «Objetivo de este servicio» and click Fijar (Set). Volver al automático (back to automatic) restores the default target.
- To keep a service out of the total target, expand it and tick Dejar este servicio fuera del objetivo total (leave this service out of the total target). It stays in the list, with the label «fuera del objetivo total», and the top shows how many services you have left out. Untick it to count it again.
Only the account owner can change the targets; the rest of the team can see them but not edit them («lo fija el titular», the owner sets it).
