What it is for: having your leads, sales pipeline, tasks, calendar and notes in one place. You work through your day without switching screens.
Where to find it: menu Customers and leads («Clientes y leads») → My CRM («Mi CRM»).
Who sees it: anyone who has the CRM. If you do not have it, the menu entry shows a padlock and the screen explains why. If you do not see it, ask in Help and contact («Ayuda y contacto»).
What you see first
- Two figures at the top right: the hot leads of the last 7 days and the appointments in the next 7 days.
- Six tabs: Leads, Pipeline, Tasks («Tareas»), Calendar («Calendario»), Notes («Notas») and Sales («Ventas»). It opens on Leads.
- Each person's record, which you reach by clicking their name.
Each tab is explained below, one task after another.
Step by step
Find a lead
- On the Leads tab, type in the search box («Buscar nombre, email o teléfono…»).
- The list updates as you type. Above the table you see how many leads there are and, if you have filtered, how many match the filter.
Filter the list
- Click Filters («Filtros»). A panel opens with these groups:
- Interest («Interés»): Hot («Caliente»), Warm («Templado») or Cold («Frío»).
- Tags («Etiquetas») and Must NOT have («Que NO tengan»): the most used come first; with "see the remaining..." («ver las … restantes») you see the rest.
- Channel («Canal») and Source («Origen»): where each person came from.
- Activity («Movimiento»): Active 7 days («Activos 7 días»), Idle +14 days («Parados +14 días») or Idle +30 days («Parados +30 días»).
- Have bought («Han comprado»): Already customers («Ya son clientes») or Not yet («Todavía no»).
- Your fields («Tus campos»): the custom fields you have created (see below).
- Points («Puntos») and Score («Puntuación»): a minimum and a maximum.
- Each filter you set adds up. The Filters button tells you how many you have on.
- Click Clear («Limpiar») to remove them all.
Save a filter as a list
- Set the filters you want.
- Click + Save as list («+ Guardar como lista») and give it a name.
- The list stays at the top as a button. Click it to get back to that filter.
- To remove it, hover over it and click the ✕. The leads are not touched, only the saved filter disappears.
Add a contact
- Click + New contact («+ Nuevo contacto»).
- Type the full name and a phone number or an email (one is enough, but you need at least one).
- Click Create contact («Crear contacto»). It appears in the list straight away.
Import contacts from an Excel file or from another CRM
- Click ⬆ Import Excel («⬆ Importar Excel») and upload a .xlsx, .xls or .csv file.
- Match the columns: Name («Nombre», required), Phone («Teléfono») and Email (you need one of the two). You can also match Tags (separated by commas) and your own fields. Leave the ones you do not need as "unused" («sin usar»).
- Under Comes from («Viene de»), choose whether it is your own Excel file or which other CRM you took it from. That way the contacts are marked with their source.
- Under If already in your CRM («Si ya está en tu CRM»), choose leave it alone («no tocarlo») or complete it (tags and fields) («completarlo (etiquetas y campos)»).
- Check the preview and click Import … contacts («Importar … contactos»).
- When it finishes you see how many were created and how many were completed. If any fail, it tells you the row and the reason.
Each row creates a real contact in your CRM. Check the preview before importing. If a batch of rows fails, the import stops there so it does not leave you with half of it done without telling you.
Tag or assign several leads at once
- Tick the boxes of the leads (or the header box to tick them all).
- The actions appear at the top: + Tag («+ Etiqueta»), − Tag («− Etiqueta») and Assign to... («Asignar a…»).
- Type the tag and confirm. Before it goes ahead, the panel tells you how many leads will be touched. Keep in mind that a tag can trigger the automations you have set up.
- To clear the selection, click clear selection («quitar selección»).
Share the leads among your team
- Assign to... (with several leads ticked) lets you pick a team member, yourself ("Me", «Mí») or Remove owner («Quitar responsable»).
- If your account has more than one person, the table has an Owner («Responsable») column and a dropdown next to the search box to see All («Todos»), Mine («Míos»), Unassigned («Sin asignar») or each colleague's leads.
- You can also change the owner from the lead's record.
Take a quick look at a lead
- Click the lead's name. A panel opens on the right.
- You see their level, contact details, last activity, Tags, In pipeline («En pipeline»), Pending tasks («Tareas pendientes»), Latest notes («Últimas notas»), What you last talked about («Lo último que hablasteis») and, if they have already bought from you, Has already bought from you («Ya te ha comprado»).
- To tag without leaving, type the tag and press Enter or Add («Añadir»). To remove one, click its ✕.
- Click See full record → («Ver ficha completa →») to open their whole record. With Esc, the ✕, or by clicking outside, you close the panel and stay in the list.
Create your own fields (🗂️)
For data that is specific to your business, such as a renewal date or the type of customer.
- Click the 🗂️ button next to the search box. Only the account owner manages this.
- Type the Field name («Nombre del campo») and choose the type: Text, Number, Date, List of options or Yes / no. For a list, type at least two options separated by commas.
- Click Add field («Añadir campo»).
- The field shows up in each contact's record, in the Your business data («Datos de tu negocio») block, and also as a filter under Your fields.
- To remove a field, click Delete («Borrar»). What was already filled in is not lost, but it stops being shown.
Give your contacts points (🎯)
- Click the 🎯 button next to the search box.
- Click Add rule («Añadir regla») and choose when it adds or subtracts: Has the tag, Came in through the channel, Their level is, Their field is, Has had activity in the last (days), Has an upcoming appointment or Is already a customer.
- Type how many points it adds (or subtracts, with a negative number).
- Click Save («Guardar»). The points of all your contacts are recalculated.
- Points show in the Interest column, are used for filtering, and also for your automations.
Only the account owner edits the rules. The rest of the team can see them.
See and move your opportunities in the pipeline
- Open the Pipeline tab.
- If you have more than one pipeline, choose one from the dropdown. There are two kinds:
- 💼 Sales: each card is an opportunity. Moving a card may trigger an automation you have set up.
- 🎯 Follow-up and calls: each card is a lead. Each column can carry a goal: what you want to achieve with whoever is sitting there. Your voice agent reads it when it calls.
- Drag a card to another column to change its stage. If it does not save, the card goes back to its place and tells you.
- On each card, Record («Ficha») opens the lead; Won («Ganada») and Lost («Perdida») close the opportunity (it leaves the column).
- ⛶ Full screen («⛶ Pantalla completa») shows a bigger board. Esc or ↙ Exit full screen («↙ Salir de pantalla completa») takes you back.
Create an opportunity
- On the Pipeline tab, click + New opportunity («+ Nueva oportunidad»).
- Type the opportunity's name.
- Search for the contact (by name, phone or email) and pick them.
- Choose the Stage («Fase») and, if you like, the Value € («Valor €»).
- Click Create opportunity («Crear oportunidad»).
If the pipeline is a sales one and it tells you that contact is not ready for it yet, choose another one or create them first from the Leads tab.
Add a lead to a follow-up pipeline
- Choose a follow-up pipeline (🎯) and click + Add lead («+ Añadir lead»).
- Search for the lead and choose the Column («Columna»).
- Click Add to the funnel («Añadir al embudo»).
Create a new pipeline and set goals for its columns
- Click + New pipeline («+ Nuevo pipeline») and name it.
- It starts with a few ready-made columns, so you do not begin with a blank screen.
- In a follow-up pipeline, click the ✎ on a column to rename it and write its goal.
Note and complete tasks
- Open the Tasks tab. At the top you see how many are pending.
- Click + New task («+ Nueva tarea»), type "What needs doing?" («¿Qué hay que hacer?»), add a detail if you like and the date under Due («Vence»).
- Click Create task («Crear tarea»).
- To mark it as done, tick its box. Tick Also show the completed ones («Ver también las hechas») if you want to review them.
See your week and book an appointment
- Open the Calendar tab. If you do not have a calendar yet, click Create my calendar («Crear mi agenda»): it is created with a starting schedule of Monday to Friday, 9 to 14 and 16 to 19.
- With ‹ Week («‹ Semana»), Today («Hoy») and Week › («Semana ›») you move between weeks. If you have more than one calendar, you choose it from the dropdown on the right.
- Each day shows its appointments and, below them, the Free («Libre») times.
- To book, type Who is coming («Quién viene», required) at the top and, if you like, the Phone («Teléfono (opcional)»). Then click the free time. You get "Appointment saved" («Cita guardada»).
Mark whether they came, or cancel an appointment
- Click the appointment in the calendar.
- If it is today or already past, choose ✅ Showed up («✅ Se presentó») or ❌ Did not show («❌ No se presentó»). If you got it wrong, Undo («Deshacer»).
- If it has not started yet, you can ✖️ Cancel appointment («✖️ Anular cita»). It asks you to confirm ("Cancel this appointment?", «¿Anular esta cita?»), notifies the person, and tells you through which channel they were notified.
Only appointments booked from here can be marked and cancelled. The ones that come from another scheduling tool carry a label with their source: to cancel them you have to go where they were created.
Let your customers book on their own
- In Calendar, find the Public booking («Reservas públicas») block and switch it on. Only the account owner sees it.
- Fill in Link («Enlace», letters without accents, numbers and hyphens), Title («Título») and Description («Descripción»).
- Choose Video call («Videollamada»): None, Fixed link, Zoom or Google Meet. Zoom and Meet create one meeting per appointment and can only be chosen with your account connected in Connections. With Fixed link, type your link.
- Tick Ask for email («Pedir email») if you want the booker's email.
- Click Save. After that you have Copy link («Copiar enlace») and Copy code for your website («Copiar código para tu web»).
Name the source of each appointment
- In Calendar, open the Where each appointment comes from («De dónde viene cada cita») block (account owner only).
- Click Add source («Añadir origen»), type what the source code starts with and what you want the appointment to be called.
- Say what "all other appointments" should be called and click Save. The name appears in the appointment title and in the "New appointment" alert.
Connect your Google Calendar
If you see Connect Google Calendar («Conectar Google Calendar») in the calendar, click it and give permission in Google. From then on the calendar stops offering times when you already have something on, and new appointments show up in your calendar. The account owner connects it. To remove it, click Disconnect («Desconectar»). If Google withdraws the permission, the screen warns you in red and you can Reconnect («Volver a conectar»).
Save a note about a lead
- Open the Notes tab. You see all of them, newest first, with who wrote each one and which lead it belongs to.
- Click + New note («+ Nueva nota»).
- Search for the contact (name, phone or email) and pick them.
- Write the note and click Save note («Guardar nota»).
See a contact's quotes and invoices
- Open the Sales tab.
- Type a contact's name and pick them.
- You see their quotes and invoices, and what they owe. New quote («Nuevo presupuesto») takes you to create one.
This tab needs the invoicing module. If you do not have it, it tells you so and how to get it.
The lead record
You open it from See full record → in the quick view, from Record («Ficha») on a pipeline card, or from the name in a note or in the customers list.
What you see at the top
- Their name, phone and email, the channel they came through, their level (hot, warm or cold) and their score.
- Owner («Responsable», if your account has more than one person): change it right here.
- The counters WhatsApp msgs, Calls («Llamadas») and Conversions («Conversiones»).
- The Call button with their number, if your phone line is connected: your phone rings first and, when you pick up, it connects you with them. It asks you to confirm before calling.
- ← Back («← Volver») takes you back to your leads.
- If you have the Suite and you are the owner, the right-hand column shows 🧩 Proyectos with a + Nuevo proyecto («+ New project») button that opens the new-project form already filled in with this person. See Projects.
The timeline
On the left, Timeline: their WhatsApp messages, their calls (with the recording to listen to, if there is one) and the purchases they have made, newest first.
Reply on WhatsApp from the record
- On the right, under Reply on WhatsApp («Responder WhatsApp»), check the number.
- Type the message. With 📎 Attach («📎 Adjuntar») you can add a file (images up to 5 MB; anything else up to 16 MB).
- Click Send WhatsApp («Enviar WhatsApp») (or Send file, «Enviar archivo»). The reply goes out on the line the conversation came in on.
- If more than a day has passed since their last message and you use the official number, WhatsApp only lets you write first with an approved template. The screen tells you so and lets you pick one. Once they reply, you can write freely for 24 hours.
What we know about this person
This is what your agents remember about them and take into account when replying. It fills in by itself after each conversation. The whole team sees it. Only the account owner can Correct (or Write) and Delete («Corregir», «Escribir», «Borrar»).
Notes and your business data
- Your business data: the custom fields you have created. Fill them in and click Save.
- Add note... («Añadir nota...»): type and click + Note («+ Nota»). They are stored with date and author.
- Log («Bitácora»): below, a line to note "What did you talk about?" («¿Qué habéis hablado?») with that person. Click Log it («Apuntar»).
Ask them for details with a form
If you have questionnaires created, Ask for details («Pedirle datos») appears at the top of the record. Choose the questionnaire and generate the link to copy it or send it by WhatsApp. What they answer stays on their record. The button and the confirmation always carry their name so you do not send the form to the wrong person.
