Appointments and follow-ups

What it is for: seeing the appointments your agent has booked and deciding what it does when a contact stops replying. You also get the list of follow-up messages here.

Where it is: menu Customers and leads («Clientes y leads») → Appointments («Citas»), Follow-ups («Seguimientos») and Lists and segments («Listas y segmentos»). Follow-up messages («Mensajes de seguimiento») is under Capture customers («Captar clientes»). Some of these entries are inside "More...".
Who sees it: anyone who has an AI agent. If you do not see them in your menu, ask our support team.

What you see first

  • In Appointments: a calendar of the month, the upcoming appointments on top and the detail of all the month's appointments below.
  • In Follow-ups: your follow-up steps, one under the other, with the save and publish buttons at the end.
  • In Follow-up messages: a list of texts grouped by type.

Step by step

See the appointments your agent has booked
  1. Open Appointments. At the top you see how many appointments there are this month.
  2. Look at the Upcoming («Próximas») block: the next appointments, with day, time and contact.
  3. To change month, use the ← and → arrows next to the month name.
  4. In the Monthly view («Vista mensual»), today is highlighted. Each day with appointments shows the time and first name, and a number if there are more than two.
  5. In Detail («Detalle») you have the month's list with the columns When («Cuándo»), Contact («Contacto»), Calendar («Calendario») and Status («Estado»). The status appears in Spanish: Confirmada (confirmed), Asistió (attended), No vino (did not show up), Cancelada (cancelled), Pendiente (pending) or Reservada (booked).
This screen is for looking only. Your agent books the appointments with your contacts; here they are not created or moved.
Change what your agent does when someone does not reply

Each step says: "when this happens, wait this long and send this message".

  1. Open Follow-ups. If you already have steps, they appear written out.
  2. In a step, put a short name in the first field ("nombre del paso", step name).
  3. In When («Cuando»), choose the situation: Has not replied («No ha contestado»), Was qualified and did nothing («Se le calificó y no hizo nada»), Has not booked an appointment («No ha reservado cita»), Was sent a quote («Se le mandó presupuesto») or A due date is coming up («Se le acerca un vencimiento»).
  4. In "wait" («espera»), type how many hours to let pass.
  5. In "send by" («manda por»), choose WhatsApp or Email. If you choose Email, an Email subject («Asunto del email») field appears.
  6. Write the message in your own words in the big box.
  7. Tick the step's box so it says sent («se manda»). If you leave it on stopped («parado»), the step exists but is not sent.
Add or remove a step
  • To add one, click + Add a step («+ Añadir un paso»). It starts stopped and empty.
  • To remove it, click remove («quitar») in its corner.
Save a draft without sending anything
  1. Click Save draft («Guardar borrador»).
  2. You will see "Draft saved. This is not being sent to anyone yet."

When you come back you will see your draft, with a blue notice saying it is an unpublished draft. What your contacts receive right now is the last thing you published.

Publish the changes so they apply
  1. Check the notices under each step. Those marked with ⚠️ must be fixed before publishing (for example, a step with no name, no condition or an empty message). The others are tips.
  2. Click Publish and start sending («Publicar y empezar a mandar»).
  3. When it finishes you will see "Published. From now on your agent follows these steps." and a What has changed («Lo que ha cambiado») box showing which steps start being sent, which stop being sent and which were deleted.
Saving sends nothing. Publishing does. Publishing always saves first what you see on screen.
Understand the sending hours

If your account has a sending window, you will see a notice at the top with the hours. No matter when a step falls due: nothing is sent outside that window. If a step falls due in the early hours, it waits until the window opens.

Look at the list of follow-up messages
  1. Open Follow-up messages.
  2. You will see the texts grouped by type, each with its status (active or not) and, if they have any, their variables.
  3. If there are none yet, the screen says no templates are set up.
This list is read-only: it cannot be edited from here. If you want to change a text, ask our support team. The texts you do write yourself are the ones in Follow-ups.
