What it is for: protecting your account with a code from your phone, keeping your team's passwords without sending them over WhatsApp, giving keys to other programs, and setting the signature on your emails.
Where to find it: menu My account («Mi cuenta»). Four entries: Security («Seguridad»), Passwords («Contraseñas»), API and Email signature («Firma del correo»). Most of them are inside "More…" («Más…»).
Who sees it: Security is seen by everyone. Email signature is seen by everyone, but only the account owner can change it. Passwords appears if you have Sales («Ventas») on your plan. API appears if you have the CRM and is for the account owner only. If you do not see one, ask our support team.
Security: the code on your phone
With the second factor, besides your email and password you need a six-digit code that changes every 30 seconds on your phone. If someone steals your password, they cannot get in without your phone.
Passwords: your team's password manager
Here you keep logins (banks, suppliers, social networks, software), encrypted. They are encrypted in your browser with a master password before being saved: nobody else can read them, not even our support team. The trade-off is serious: if you lose the master password and the recovery code, there is no way to get back what you saved.
Do not confuse it with the Document vault («Bóveda documental»), which is for papers and files (see Documents and project).
Step by step
Turn on the code from your phone to sign in (second factor)
- Go to Security and click Activar el segundo factor (turn on the second factor).
- Scan the QR code with a code app (Google Authenticator, Microsoft Authenticator, 1Password, Authy… any works). If you cannot scan, type the key shown below it by hand.
- Type the six-digit code the app shows and click Activar (Turn on).
- You are shown eight backup codes. This is the only time they appear. Click Copiar los ocho (Copy all eight) or print them, and keep them where you keep important things.
Turning it on signs out any other sessions you had open (the computer you left on, an old phone). Yours stays open.
Use the backup codes and generate new ones
Each backup code works only once, and with any of them you can sign in if you lose your phone. In Security you can see how many you have left. When few remain, click Generar códigos nuevos (Generate new codes): the old ones stop working.
Turn off the second factor
In Security, click Quitar el segundo factor (Remove the second factor) and confirm. You will sign in with just your password again. It is better to leave it on.
Create your password space for the first time
- Go to Passwords. The first time, it asks you to create your space.
- Type a Contraseña maestra (Master password) of at least 12 characters and repeat it in Otra vez (Again).
- Click the Crear mi… (Create my…) button, which carries the name of the screen.
- A 32-character recovery code appears, titled «Apunta este código. No se vuelve a enseñar.» (Write this code down. It is never shown again.). Copy it, print it or write it by hand.
- Click Lo he apuntado (I have written it down). You cannot continue until you do: this is on purpose.
That code is the only way back in if you forget the master password. We have no copy and cannot show it to you again.
Unlock your passwords each time you sign in
- Type Tu contraseña maestra (Your master password).
- Click Abrir (Open) or press Enter.
Your passwords lock themselves after 10 minutes without any activity. You can also click the Bloquear… (Lock…) button, top right, when you finish.
Add a password and save it
- Click Añadir (Add).
- Fill in Qué es (What it is), Dirección web (Web address), Usuario (Username) and Contraseña (Password). If you want a new, secure one, click Generar (Generate).
- In Notas (Notes) you can write whatever is needed (security questions, customer numbers…).
- Carpeta (Folder, for example "Banks, suppliers…") and Caduca el (opcional) (Expires on, optional) help you sort entries and remember to renew them. Note: these two fields are saved unencrypted, so do not put anything secret in them.
- Click Guardar (Save).
Search for a password, view it or copy it
- Type the name, username or website in Buscar… (Search…).
- Ver (View) shows the password and notes; Ocultar (Hide) covers them.
- Copiar (Copy) puts it on the clipboard, and it clears itself after 30 seconds.
- Editar (Edit) and Borrar (Delete) change or remove the entry. Deleting cannot be undone.
If your permission is "use without seeing the password", you do not see the text but you can copy it to paste where you need it.
Import your passwords from another manager (CSV file)
- In your previous manager, export the passwords as a CSV file.
- Click Importar (Import) and choose the file. The file is not uploaded anywhere: it is read and encrypted in your browser.
- Confirm how many will be added. You will see "Importadas X de Y" (Imported X of Y).
- Delete the exported file: it contains your passwords in plain text.
Share passwords with your team and remove access
The group owner sees this part, below the list, under «Quién entra a este grupo» (Who has access to this group).
- In Dar acceso a (Give access to), choose someone from your team. If their email says «aún sin…» (not yet set up), that person must first open this screen and create their own master password.
- In Puede (They can), choose consultar (view), usar sin ver la contraseña (use without seeing the password) or editar (edit).
- Click Dar acceso (Give access).
- To remove it, click Quitar (Remove) next to their email. What that person has already seen may have been copied: if they are leaving, change those passwords.
Further down, Últimos accesos (Latest access) tells you who viewed or copied what, and when.
Get back in if you forget the master password
- On the sign-in screen click He olvidado mi contraseña maestra (I have forgotten my master password).
- Paste your Clave de recuperación (Recovery key), the 32 characters you wrote down (no letter O and no number 0).
- Type a Nueva maestra (New master password) of at least 12 characters and repeat it in Otra vez.
- Click Recuperar mi acceso (Recover my access). Your passwords and who you share them with are kept.
If you do not have the recovery code either, there is no way to open them.
Connect the browser extension to fill in passwords automatically
- Open Passwords and scroll to «La extensión del navegador» (The browser extension).
- Install the extension in Chrome with the link shown.
- Click Conectar un navegador (Connect a browser) and give it a name so you can recognise it (for example "My computer").
- Copy the key that appears and paste it into the extension. It is never shown again: if you lose it, create another and revoke the old one.
- To remove a browser, click Revocar (Revoke) on its row.
The key alone opens nothing: the extension will still ask for your master password.
Create an API key to connect another program
The API lets Zapier, Make or another program create contacts, tag them, fill in your fields and create tasks in your CRM. Only the account owner manages it.
- Go to API.
- In the box «Para qué es (p. ej. Zapier)» (What it is for, e.g. Zapier), type what you want it for.
- Click Crear clave (Create key).
- Copy the key that appears with Copiar (Copy). You will not see it again: keep it like a password. Once it is saved, click Ya la he guardado (I have saved it).
- Paste the key into the program you are connecting. Below the list, the screen itself includes a usage guide with examples for whoever sets it up.
If you want your CRM to notify another tool when something happens, see the «Avisar a otra herramienta» action in Automations.
Revoke an API key
- Under Tus claves (Your keys), find the one you want to remove. You can see when it was created and last used.
- Click Revocar (Revoke) and confirm. Anything using that key stops working immediately.
If a key has leaked, revoke it and create another.
Set the signature on your emails
The signature goes at the end of the emails sent in your company's name: the ones you send from the panel, the ones KOR sends, and your quotes and invoices. Only the account owner changes it.
- Go to Email signature.
- Write your signature in Tu firma (Your signature), up to 600 characters. For example:
Ana Ejemplo/Director · My Company/600 000 000 · www.yourcompany.com - If your company has a logo saved, tick Poner mi logo encima (Put my logo on top).
- Leave Usar esta firma en los correos (Use this signature in emails) ticked.
- Check Así se verá (This is how it will look) on the right and click Guardar firma (Save signature).
Turn the signature off without deleting it
Untick Usar esta firma en los correos and save. Emails go out without a signature and your text is kept. In the preview you will see «Firma apagada» (Signature off).
If your signature has a design
If our team has prepared a designed signature for you, you see it on the right and the box on the left is renamed Versión en texto (Text version): it is only used in plain emails. To change the design, write to our support team.
If something does not go as expected
| What happens | Why | What to do |
|---|---|---|
| "That code is not correct" when turning on the second factor | Your phone's clock is off, or you mistyped a digit | Check your phone's time and type the new code the app shows |
| «Esa no es tu contraseña maestra» (That is not your master password) | You typed it wrong | Try again; if you cannot remember it, use He olvidado mi contraseña maestra |
| "It closed by itself after 10 minutes unused" | The automatic lock | Type your master password again |
| «Ese código de recuperación no es el tuyo» (That recovery code is not yours) | A character is wrong | It is 32 characters, with no letter O and no number 0 |
| A teammate's email says «aún sin…» | They have not created their master password yet | Ask them to open Passwords and create it; then give them access |
| I cannot see Passwords or API in the menu | They need Sales or the CRM on your plan (and API is for the account owner only) | Ask our support team |
| "only the account owner can change this" | You are signed in as a team member | Ask the account owner |
