Automations

What it is for: having EK1 do by itself what you always do by hand. When something happens (a new lead comes in, someone fills in a form, an appointment is booked…), the panel does what you told it: sends a WhatsApp message, waits, tags, moves to another stage, creates a task or decides according to the person.

Where to find it: menu Automations («Automatismos») → Automations.
Who sees it: accounts that have it switched on. If you see the entry with a padlock, your plan does not include it: see Expand your AI («Amplía tu IA») or ask our support team. Some actions (Publish, Pause, Resume, Delete) are for the account owner only.

How to think of an automation

An automation is a chain of steps that you draw on a canvas:

  1. Start with («Empieza por»): the trigger, what sets it off. There is only one per automation.
  2. Then («Luego»): the actions, one after another.
  3. The steps are joined with arrows.

A simple example: "new lead → wait 10 minutes → welcome WhatsApp".

What you save is a draft, and it does not run until you publish it.

Step by step

Create an automation from scratch
  1. Click + New automation («+ Nuevo automatismo»). The canvas opens.
  2. Change the name at the top, where it says «Automatismo nuevo» ("New automation").
  3. In the left column, under 1 · Start with, choose the trigger: for example New lead («Lead nuevo»), Tag added («Etiqueta añadida»), Stage changed («Cambia de etapa»), Form sent («Formulario enviado»), Appointment booked («Cita agendada»), WhatsApp message («Mensaje de WhatsApp») or By hand («A mano»). Depending on the modules you have, more appear (projects, courses, webinars, interactive videos…).
  4. Under 2 · Then, add actions: Send WhatsApp («Enviar WhatsApp»), Send email («Enviar email»), Move stage («Mover de etapa»), Create task («Crear tarea»), Wait («Esperar»), Tag («Etiqueta»), Condition («Condición»), Assign owner («Asignar responsable»), Stop («Parar»), among others.
  5. Join the nodes: drag from the red dot of one step to the grey dot of the next.
  6. Click a step to change what it does. In the panel on the right you adjust its details: the message, the line, the stage, how long to wait… To remove a step, click remove («quitar») in that panel or press the Delete key.
  7. Click Save draft («Guardar borrador»). The dot next to the button shows you have unsaved changes.
Use a ready-made template
  1. In the list, look at Ready-to-use templates («Plantillas listas para usar»).
  2. Click Use this template («Usar esta plantilla») on the one that suits you.
  3. It is copied as a draft: check the texts, adjust them and publish it when you like.
Write messages and use the person's details

In a Send WhatsApp step you write the text of the Message («Mensaje»). You can insert the person's details with these variables: {{nombre}} (name), {{empresa}} (company), {{enlace_reserva}} (booking link), {{fecha_cita}} (appointment date) and {{hora_cita}} (appointment time). For example: "Hi {{nombre}}, I'm…".

If you use an official WhatsApp line, you can also choose an approved template for cases where more than 24 hours have passed since the person wrote to you.

Wait and decide
  • Wait: choose How long («Cuánto») and the Unit («Unidad»: minutes, hours or days). With …and until («…y hasta las») it waits until a given time, and you can tick working days only («solo días laborables»).
  • Condition: asks something about the person (for example, whether they have a tag, which stage they are in, whether they have replied since the last WhatsApp, whether they have another appointment booked, or whether they have already bought). It has two exits: the green one (yes) and the red one (no). Join each one to whatever comes next.
Test before publishing
  1. With no step selected on the canvas, go to Try with my phone («Probar con mi móvil»).
  2. Type your mobile number and click Try now («Probar ahora»).
  3. The draft runs once with you as the recipient: the WhatsApp messages come to you. It tells you which steps went well.
Publish so it starts running
  1. Resolve what the line To publish: («Para publicar:») says (for example, a step that is not joined).
  2. Click Publish («Publicar», owner only). It asks if you want to go ahead, reminding you what will set it off.
  3. When you confirm, «Publicado (vN). Ya está en marcha.» ("Published (vN). It is now running.") appears and the automation shows as running («en marcha»).

The checkbox next to the name controls whether each person goes in only once ("once per person", or the variant that matches the trigger). If you leave it ticked, nobody receives the same thing twice.

Put someone in by hand

If the trigger is By hand and the automation is published:

  1. With no step selected on the canvas, search for the person by name or phone under 👆 Put someone in now («Meter a alguien ahora»).
  2. Click Put in («Meter»).
  3. Within a minute you will see them under Runs.
Pause, resume, duplicate or delete an automation

On each automation's row in the list:

  • Pause («Pausar», owner only) stops it; it shows «pausado» ("paused"). Resume («Reanudar») sets it running again.
  • Duplicate («Duplicar») makes a copy.
  • Delete («Borrar», owner only) removes it. It warns you that runs in progress are stopped.
See what an automation has done
  1. In the list, click the «N in progress · N in total» figure of that automation, or Runs («Ejecuciones») inside the canvas.
  2. Each row is a person it has run for. Their status can be in progress, waiting, finished, stopped or error. If it is waiting, you see when it carries on.
  3. Click the row to see the steps taken, with the time and whether they went well.
  4. With ← Back to canvas («← Al lienzo») you go back to editing.
Notify another tool

With the Notify another tool («Avisar a otra herramienta») action, your automation sends the contact to a web address you provide (for example, one from Zapier or Make). The owner has, lower down on the screen, a box called Notices to other tools («Avisos a otras herramientas») with the key used to check that the notice comes from your panel. You only need it if you connect another tool.
